Terms & Conditions

Last updated: August 2026. This is a working draft prepared for review by LightRay Entertainment and its legal counsel. It is not legal advice and should not be published without a lawyer’s review.

1. About these terms

These Terms & Conditions govern your use of the LightRay Entertainment website and any quote request, booking or engagement you enter into with LightRay Entertainment (“LightRay,” “we,” “us”). By using this site or submitting a request through it, you agree to these terms.

LightRay provides LED entertainment, specialty performance acts and event production equipment for events in Las Vegas, Phoenix, Los Angeles and surrounding markets.

2. Quotes and proposals

All pricing provided on this site or in conversation is an estimate until confirmed in a written proposal. A quote is not a reservation. Dates are held only once a signed agreement and deposit are received.

Quotes are valid for thirty (30) days from the date issued unless stated otherwise. Pricing assumes standard venue access, load-in conditions and performance times as described in your request. Material changes to date, location, duration, guest count or production requirements may change the price.

3. Bookings, deposits and payment

A non-refundable retainer is required to reserve your date. The retainer amount and payment schedule are set out in your proposal, and the remaining balance is due according to that schedule.

Accepted payment methods are identified in your proposal. Late payment may incur a service charge and may, at our discretion, result in cancellation of the engagement.

4. Cancellations and rescheduling

Cancellation terms are set out in your signed agreement. Retainers are non-refundable. Depending on how close a cancellation falls to the event date, additional fees may apply to cover reserved performer time, equipment and crew.

We will make reasonable efforts to accommodate a rescheduled date subject to availability. Rescheduling is not guaranteed and may require a new agreement.

5. Venue, access and safety

The client is responsible for ensuring the venue provides safe, adequate and timely access for load-in, setup, rehearsal, performance and strike — including any required permits, elevator or dock access, and parking.

LightRay performers work at height, with electrical equipment and with illuminated apparatus. The client is responsible for ensuring the performance area is level, dry, clear of hazards, adequately sized, and supplied with power meeting the specifications in the proposal. We reserve the right to modify or cancel a performance, without refund, where conditions present a safety risk to performers, crew or guests.

Guests must not touch, climb on or interfere with performers, costumes, apparatus or equipment. The client is responsible for the conduct of their guests.

6. Equipment and damage

All rental equipment remains the property of LightRay at all times. From delivery until collection, the client is responsible for the equipment and liable for loss, theft or damage beyond normal wear, at full replacement cost.

Equipment may not be moved, modified, repaired or sublet without our written consent.

7. Weather and outdoor events

For outdoor events, the client is responsible for providing an appropriate covered alternative. LED equipment, costuming and aerial apparatus cannot safely operate in rain, high winds or extreme temperatures. Where conditions are unsafe, performances may be shortened, relocated or cancelled at our discretion without refund.

8. Photography, video and publicity

Unless you tell us otherwise in writing before the event, LightRay may photograph and record its performances and use that material for portfolio, marketing and social media purposes. We will not identify a client, venue or guest by name without permission.

Guests and third-party media may photograph performances for personal, non-commercial use. Commercial use of footage featuring LightRay performers or intellectual property requires our written permission.

9. Intellectual property

All content on this site — including photography, video, act concepts, costume and apparatus designs, copy, and the LightRay name and marks — is owned by LightRay or its licensors and may not be reproduced or used without written permission.

10. Insurance and liability

LightRay maintains commercial general liability insurance. Certificates of insurance are available on request, and additional-insured endorsements can be arranged where a venue requires one.

To the fullest extent permitted by law, LightRay’s total liability arising from any engagement is limited to the amount paid by the client for that engagement. We are not liable for indirect, incidental or consequential damages, including lost profits or lost opportunity.

11. Force majeure

Neither party is liable for failure to perform due to causes beyond reasonable control, including acts of God, severe weather, fire, flood, epidemic, labor action, utility or transport failure, venue closure, or government order. Where such an event prevents performance, the parties will work in good faith toward a rescheduled date.

12. Indemnity

The client agrees to indemnify and hold harmless LightRay, its performers, crew and contractors against claims arising from the client’s breach of these terms, the acts of the client’s guests or vendors, or conditions at the venue outside our control.

13. Governing law

These terms are governed by the laws of the State of Nevada, without regard to conflict-of-law principles. Any dispute will be brought in the state or federal courts located in Clark County, Nevada.

14. Changes to these terms

We may update these terms from time to time. The version in effect on the date of your signed agreement governs that engagement.

15. Contact

Questions about these terms can be sent through our contact page or to the address listed in the footer of this site.
